A large-format chain of stores in Gujarat – Utilizing our Cloud-based system extensively: They use Forecast-based PO & Auto-Indents for almost 3.5 Lakh SKUs from Value retailing (e.g. Food & Grocery) to Lifestyle (e.g. Apparels) in large store format. Their entire Purchasing is managed by just a 4-member buying team. On a festival weekend, their flagship mega store does 15000 POS bills in a day (accessing on a centralized cloud server). Further, they extensively use Customer Loyalty Program, Schemes/Promotions (e.g. Buy for 12 months & get 1month Free purchase), Pro-active Analytics, optimum interpretation and corrective actions based on MIS reports, integrated Financial Accounting etc. For alert & immediate proactive action, they extensively use push SMS and Email notifications system as follows:

Patel Retail Pvt. Ltd
Transformation from a small un-organized retailer to an Organized Modern Retail Chain doing a business of INR 330 Crores in FY 15-16 and targeting turnover of INR 1,000 Crores by 2020. Initially (2004) they had only 2 stores in Ambernath (Thane District) and were using other software, mainly doing RETAILWHIZZ/billing. We helped them transform into a modern organized retail chain of 16 supermarkets and 8 specialty/small apparel stores, with a state-of-the-art central warehouse/DC & Corporate office. They are also using our ERP for their Exports from the central DC and are in process of setting up a huge Food Processing unit & DC in Kutch, using our system. They are now using best practices like: Auto-Indents and Purchase Orders, Auto-Email to Vendors and Directors, systematic inventory management, integrated Financial Accounting in “Retail-whizz” instead of Tally used earlier, etc. Last year, they have opted for and migrated to our Hybrid Centralized Cloud Server Architecture with Offline RETAILWHIZZ.
Wadhawan Group
We have developed their ecommerce website “sangamdirect.com”, which is tightly integrated with our ERP. They are using a robust Warehouse Management System and Distribution Logistics for handling Store Indents, B2B Orders and Customer Orders (received through Website), APP & Call. They use Complete Order Management, Picking (using HHT devices), Packing, Trip/Dispatch Management using pre-defined routes / RDC’s and Delivery Boy APP.
All standard features of our RETAILWHIZZ & ERP are being used like: Auto-Indenting, MBQ/ROL based Purchase Ordering, Perpetual Inventory Control, Various Promotions/Schemes and Customer Loyalty Program, MIS Reports and Tally Integration for Accounting. We have developed a separate process for F&V based on SKU, Store and day-of-week wise forecasting based on historic sales; and Procurement from multiple Collection Centers.
They have opted and migrated to Hybrid Central Server Architecture with their Cloud Servers hosted on Amazon (AWS) and local Offline RETAILWHIZZ for emergencies.

Future Group
Handling 200+ stores (own & franchisee), integrated with SAP ECC-6.0 & IS Retail using IDOCS across various states and formats: “KB’s Fair Price”, “KB’s Conveniently Yours”, “Aadhaar” -Rural Cash and Carry Retailing. They are continuing on a de-centralized, distributed database architecture.
Technology used: For all Future group stores, Oracle 10g XE (free database) is being as the local DB. For Data Sync UTL_SMTP package, PL/SQL and FTP is being used. All Files are Encrypted with password and uploaded in the FTP server.
For Own Stores of KBFP and Aadhaar
- “Retail-whizz” for RETAILWHIZZ, Master Data (from SAP) is downloaded from FTP at scheduled intervals location uploaded in our local database. The Sales, Payment Collection & Sale Return data is uploaded into FTP server at Day-End (for SAP & Green Plum BI tool).
- The Outbound files created from SAP for Master Data to be transferred to Own Stores consists of Tax Master, Merchandise Hierarchy, Articles with attributes, EAN/GS1 Barcodes, Customer Master and Promotions/Schemes (most challenging!).
- The Inbound files for SAP, created from “Retail-whizz” for Own Stores and uploaded to FTP are: Payment-mode wise collections, Article-wise Sales, Sales Returns and any Promotions applied, Bill wise payment-modes, Customer-ID, Bill-wise & article-wise Sales & Sale-returns, files for Integration with T24 (Mobile).
For Franchisee Stores of Aadhaar:
- The Master Data is integrated with our Central Franchisee HO Server and sent from HO server to all local databases. Facility to upload Franchisee PO sent to their DC’s, SAP Invoice as Purchase GRN of Franchisee, Purchase Return of Franchisee to become Sales Return in SAP.
- Master data: Retail Whizz HO (Head office), server mapped with one dummy site pulls master data from FTP server just like OWN stores. From Retail Whizz HO, master data is transferred to Aadhaar franchisees.
- Sales Invoice: Sales invoice generated from SAP Warehouse are transferred to franchise stores and downloaded and loaded at franchisee stores. Transaction Data: Inventory & Sales data are transferred to Retail Whizz HO Server.
- MIS files created at day end process uploaded to FTP for Green Plum BI server.
Big Apple
in Delhi/NCR – Warehouse Management System: A chain of 66 convenient stores (mini-supermarkets) in Delhi/NCR with 1 Central Warehouse/DC and 2 supporting Warehouses/DCs for Re-Packing and Fresh Produce (“Big Apple”) had a limitation. They were not able to optimize their inventories and supply chain. We conducted a time and motion study of their current processes /workflow/ resource utilization and implemented the following:
Indenting: Changed the process from Indenting at Store (Pull) to Auto-Indents generated at HO based on MBQ/ROL and pushed through the Central Warehouse/DC.
Set frequency of Indenting based on Store grade (ABC analysis) and SKU grade (ABC analysis) and generated those Category-group wise to ease Picking from Warehouse.
Revamped internal DC operations to do Route and Category-group wise Picking.
To improve accuracy of Dispatch and fill-rate, suggested scanning of SKUs and Crates/Bags/Cartons during packing process.
Segregation of stocks as Saleable and Non-Saleable (Returnable to Vendor and Non-Returnable to Vendor). Suggested a periodic stock-take to ensure inventory hygiene in the DC.
Process that was recommended to them, for WMS and Distribution/ Logistics:
Identification of Storage Type and Rack Locations for each SKU
Pre-GRN list mentioning last MRP, last expiry date, current stock, last EAN/GS1 code, etc.
Generating Put-away list during goods receipts
Pick list based on storage locations is generated for goods to be issued (after indent or sales order processing). Tagging promotional items & schemes and auto-reflection in pick list.
Packing list process: which ensures that goods that move out physically match those that are in T.O. doc. and also ensures proper crate management.
Processing of branch indent requests, pick list generation, T.O. authorization and printing can be route / store cluster based or category based.
Facility for multiple logical locations (dept.) within a warehouse (Saleable, Damages, Returnable to Vendor, Expired, Reserved, etc.)
Re-packing instruction based on MBQ levels, pending indents and stock in hand of bulk and child SKUs.
Facility to define Bill-Of-Material (raw materials used) for Finished Goods (like Sweets, Savories & Bakery) and handle Production Planning process & actual consumption.
Track of Supply-Chain efficiency in terms of service levels / indent fill rates (Merchandiser & Warehouse) for the warehouse. Tracking of Supplier Order fill rates.
Using Portable DCU (Hand-held) for: Receiving, Physical Stock take, Price/MRP check, EAN/GS1 barcode checking, Orders, Packing list.

Customer Ordering Native APP on Android (for groceries and provisions), fully integrated with “Retail-whizz”. Basic Features of the APP are as follows:

Monthly basket concept where user can store their regular shopping lists. “Wish-List” for users to tag their favorite items.
